These Terms and Conditions ("Terms") govern all bookings and stays arranged through Sophari (“we,” “our,” or “us”). By booking a stay with us, you (“Guest,” “you,” or “your”) agree to be bound by these Terms. If you do not agree, please do not use our services.

Eligibility

  • You must be 18 years of age or older to make a booking. People under 18 years of age must be accompanied by at least one adult during the stay.

  • All guests are required to complete ID verification via Autohost before check-in is granted.


Properties and Use

  • We rent out apartments and entire homes for short-term stays in Bellevue and Seattle, Washington.

  • Stays may be for business, short-term living, or leisure purposes.

  • Events or unauthorized gatherings are strictly prohibited, unless explicitly approved in writing.


Booking and Payment

  • Bookings must be made directly through our website: www.staysophari.com.

  • Accepted payment methods: Credit Card, Debit Card. To pay with Zelle or PayPal, contact us via email.

  • Full payment is required at the time of booking to confirm your reservation.

  • A security deposit of $500 USD to $1000 USD (depending on the property) is collected and will be refunded within approximately 7 days after check-out, subject to the property being returned in good condition.


Check-In / Check-Out

  • Check-in: After 4:00 PM

  • Check-out: By 11:00 AM

  • All units offer self-check-in. Instructions will be provided upon successful verification and full payment.

  • Early check-in and Late check-out fees apply.


Security Deposit and Damages

  • Guests are responsible for any damages, missing items, or violations of house rules during their stay.

  • Costs will be charged to the credit card on file or must be paid via Zelle, PayPal, or other acceptable methods.

  • Refusal to pay for damages may result in legal action and/or a claim through your booking platform (if applicable).


Cancellations and House Rules

  • Our Cancellation Policy and House Rules are incorporated by reference and must be reviewed before booking.

  • These documents are made available during the booking process and must be accepted before finalizing a reservation.


Cancellation Policy

Full Refund Policy

Cancellation within 24 hours of booking AND check-in date is at least 30 days away.

  • Refund of nightly rates and cleaning fees, minus 3% processing fee to cover credit card transaction costs.

  • Service fees are non-refundable.

  • Refund processed within 5-7 business days to original payment method.

  • No documentation required.

No Refund Policy

Cancellation more than 24 hours after booking OR check-in is less than 30 days away (regardless of when booking was made).

  • 0% refund of nightly rates and service fees.

  • Cleaning fees will be refunded minus 3% processing fee.

  • Guests strongly encouraged to purchase travel protection at time of booking.

Early Checkout & Date Modifications

Guests who leave early or request shortened stays after check-in.

  • No refund for early check-out or unused nights after check-in.

  • Date changes requested within 30 days of arrival subject to availability.

  • Date changes may be treated as a new booking with applicable cancellation terms.

  • Original booking will be cancelled per policy above.

Force Majeure & Emergency Exceptions

Documented emergencies may qualify for partial or full refunds on a case-by-case basis:

  1. Natural disasters (hurricanes, earthquakes, floods affecting travel area).

  2. Government travel restrictions (official travel advisories, border closures).

  3. Medical emergencies (serious illness, injury, or death of guest or immediate family).

  4. Other qualifying emergencies as determined by management.

Requirements: Official documentation must be provided within 14 days of incident. Refunds processed at management discretion.

Policy Examples

  • Scenario 1: Standard Cancellation

Booking: $1,000 total reservation made January 1st for March 15th check-in.

Cancellation: January 3rd (48 hours after booking).

Result: No refund of nightly rate + service fees. $150 cleaning fee refunded as $145.50 (minus 3% processing fee).

With Travel Protection: Up to 100% refund if covered reason (illness, etc.)

  • Scenario 2: Quick Cancellation

Booking: $1,000 total reservation made February 1st for April 10th check-in ($800 nightly + $50 service fee + $150 cleaning).

Cancellation: February 2nd (within 24 hours, 68 days before check-in).

Result: $940.50 refund ($800 nightly + $150 cleaning = $950, minus 3% processing fee = $940.50).

$50 service fee non-refundable.

Travel Protection: Not needed for this scenario.

  • Scenario 3: Last-Minute Emergency

Booking: $1,500 total reservation made December 1st for February 20th check-in.

Cancellation: February 18th due to documented medical emergency.

Result: Without protection - only cleaning fee refunded minus 3% processing fee. With travel protection - up to 100% refund with proper medical documentation.

  • Scenario 4: Early Departure

Booking: 5-night stay totaling $2,000, guest leaves after 2 nights due to work matters.

Result: No refund for the remaining 3 nights.

With Travel Protection: Potential coverage for trip interruption if there is a qualifying reason.

Our strict cancellation policy protects our hosts, but we understand that unexpected situations arise.

Travel protection provides peace of mind and financial security for your investment.

Coverage Benefits

Trip Cancellation: Up to 100% of trip cost (max $100,000).

Trip Interruption: Up to 100% of trip cost (max $100,000).

Trip Delay: $600 coverage ($200/day, minimum 6-hour delay).

Baggage Protection: $1,000 for lost/damaged personal effects.

Medical Emergency: $25,000 for emergency medical expenses.

Emergency Evacuation: $250,000 for medical evacuation/repatriation.

Plan Options & Pricing

Standard Travel Protection: 7.00% of the reservation total.

Travel Protection + Cancel for Any Reason (CFAR): 10.80% of reservation total (where available).

How to Add Travel Protection

Travel protection must be purchased within 14 days of your initial booking to qualify for pre-existing condition coverage.

Option 1: Add during the initial booking process (recommended).

Option 2: Contact hello@staysophari.com within 14 days of booking.

Important Notes

Available to US residents only.

Maximum trip length: 90 days.

Maximum trip cost coverage: $100,000.

Pre-existing medical conditions covered only if purchased within 14 days of initial deposit.

Responsibilities

  • Sophari is responsible for property maintenance and housekeeping before and after each stay.

  • Guests are expected to maintain the property in good condition and follow all posted or provided rules.


No Guarantees or Liability Disclaimers

  • We do not offer satisfaction guarantees or service guarantees.

  • While we do our best to maintain all properties, Sophari does not disclaim liability for injury, loss, or theft—please take appropriate precautions during your stay.


Dispute Resolution

  • These Terms are governed by the laws of the United States and the State of Washington.

  • In the event of a dispute, both parties agree to attempt good-faith resolution. If a resolution cannot be reached, legal proceedings may be initiated in the courts of Washington State.

  • We reserve the right to update this section as we implement formal dispute resolution procedures (e.g., mediation, arbitration).


Additional Services

Early check-in

Depending on availability and requested time, it may vary between $50 USD and $200 USD.

Late check-out

Depending on availability and requested time, it may vary between $50 USD and $200 USD.

Parking

Based on a first-come, first-served basis and confirmed upon availability.

  • $25 USD /night for stays of 1-5 nights.

  • $20 USD /night for stays of 6-10 nights.

  • $12 USD /night for stays of 11-29 nights.

  • Monthly pricing is $350 USD.

If our allocated space is fully booked, some buildings have a kiosk you may use to rent a space for $35 USD the night (prices might vary depending on the property). Our team will give you instructions if required.

Crib / Pack n Play Rental

  • $50 for a 2-3 day weekend trip.

  • $75 per week.

  • $150 per month.


Acceptance of terms and conditions

By booking a reservation with Sophari, you agree to be bound by these Terms and any referenced documents (such as the House Rules and Cancellation Policy).

A copy of these Terms is made available during checkout and must be accepted as part of the booking process.
